How Acrobat Handles Redaction

Adobe Acrobat Pro is the default PDF tool in most professional environments, and its redaction feature reflects that legacy. The workflow is straightforward: select text manually, mark it for redaction, then apply. Marks are reversible until you commit - once applied, the underlying content is permanently removed from the PDF structure.

Acrobat also offers a Find Text & Redact function. Built-in patterns cover Social Security numbers, phone numbers, email addresses, credit card numbers, and dates. You can define custom regex patterns by editing a SearchRedactPatterns.xml file - functional but not user-friendly. The tool finds all matches, marks them for your review, and you apply in one pass.

What Acrobat does not do is scan a document and surface sensitive data contextually. There is no AI that reads paragraph text and identifies a person's name, spots a date of birth formatted differently from your search pattern, or flags a postal address that spans multiple lines. Every item either matches a predefined regex or you find it yourself.

The AI Assistant Distinction

Adobe sells a separate AI Assistant add-on for Acrobat. It summarises documents, answers questions about content, and generates citations. Some third-party articles conflate this with redaction capability. It is not.

The AI Assistant does not scan for personally identifiable information. It does not mark text for redaction. It does not integrate into the redaction panel in any automated way. You could ask it "does this document contain personal information?" and it might point you in the right direction, but it will not auto-detect, highlight, or apply redactions. It also sends your document content to Adobe's servers for processing.

If you are evaluating Acrobat specifically for AI-assisted PII detection, this is not the feature you are looking for.

Where Your Files Go

The Acrobat desktop application processes files locally. For a paralegal redacting a witness statement or an HR officer working through personnel records, the file stays on their machine throughout. This is a genuine strength.

The web version at acrobat.adobe.com is different. Documents are uploaded to Adobe's cloud infrastructure. Adobe encrypts files with AES-256 at rest and TLS 1.2 in transit. If you are signed in, the file persists in your Adobe cloud account. The AI Assistant, when active, caches document data on Adobe's servers for up to 12 hours. Adobe states this data is not used to train models.

RedactProof takes a different approach entirely. Documents load into your browser's memory and stay there. The standard detection engine runs on-device using WebAssembly. Pro Engine sends extracted text - not the file - to Cloudflare Workers AI for inference only, processed in volatile memory. Your PDF never leaves your machine regardless of which engine you use.

At the time of writing (February 2026), Acrobat Pro costs $19.99/month on an annual plan ($239.88/year) or $29.99/month rolling. UK pricing is approximately £24.98/month including VAT. The Standard plan is cheaper but does not include redaction tools at all. There is no permanent free tier - a 7-day trial is the only free access to redaction.

The Practical Decision

Acrobat Pro is the industry standard for a reason. Its Action Wizard batch-processes hundreds of PDFs with consistent regex patterns. The OCR engine handles complex scanned documents reliably. Law firms, courts, and regulators accept Acrobat-produced PDFs without question. If your workflow centres on high-volume pattern-based redaction across large document sets, or you already use Acrobat as your PDF suite, the redaction tools slot into an established process.

The gap shows when redaction is the primary task rather than a side feature. A 40-page Subject Access Request response where every name, date of birth, and NI number needs catching - regex patterns alone will miss entries that do not match the expected format. A human reviewer scanning manually will miss items in footnotes, headers, or densely formatted tables. That is the specific problem AI detection addresses, and it is the specific capability Acrobat does not offer.
